Pilot

Document-first school operations.

SchoolVault starts with public school visibility and admissions contact workflows, then expands into document vaults, compliance packet readiness, and school operations for institutions tired of running from paper folders and personal email.

01The problem

Schools run on documents that no one can find.

Admissions packets, transcripts, immunization records, parent consent forms, compliance reports. The work itself is real and important — but the systems holding it together are not.

Scattered records

Files live across personal email, shared drives, paper folders, and someone’s desktop. Finding a specific document is a small operation in itself.

Slow admissions

Prospective families enter through informal channels, get re-routed by hand, and lose visibility into where their application actually is.

Painful compliance prep

Every audit, accreditation review, or parent request rebuilds the same packet from scratch — slow, stressful, and dependent on one person’s memory.

02What we are building

SchoolVault — operations grounded in documents.

A school operations platform built around the documents schools already live by. Howard Academy is the first live public-facing proof; the deeper document vault and compliance product remains in pilot with schools that want to be early, not later.

Admin dashboard

One view of where every application, family, and document is in the workflow.

Admissions intake

Structured inquiry forms with document upload and clear status visible to families.

Document vault

Tagged, organized storage for the records that matter — searchable and access-controlled.

Packet readiness

Compliance, accreditation, and inquiry packets prepared from the records you already have.

03Live proof

Howard Academy — SchoolVault Education Pilot.

A modern public school website and digital infrastructure foundation for a Liberian high school.

Live Pilot

Age Evolution designed and deployed a premium, mobile-first public website for Howard Academy in Caldwell, Liberia. The project establishes the first public-facing layer of SchoolVault, combining school branding, admissions contact workflows, news, athletics, gallery, official domain and email, Google Business Profile setup, and AWS-hosted production infrastructure.

  • Live domain: howardacademyliberia.com
  • Public pages: Home, About, Academics, Athletics, Student Life, Admissions, News, Gallery, Contact
  • Official domain, DNS setup, Zoho Mail, Google Business Profile, and Zoho Forms contact workflow
  • AWS production deployment with S3, CloudFront, Route 53, ACM, private S3 + CloudFront OAC, and CloudFront Functions
  • Directory-index routing for clean URLs and an automated deploy script with S3 sync plus CloudFront invalidation
04Pilot status

Honest about where we are.

Howard Academy is live as the public-facing education proof. SchoolVault’s deeper admissions, document vault, and compliance workflow product is still in pilot — we are not claiming a finished, multi-school deployment.

We are working with schools willing to shape the product around their actual workflows. That means real input on what the dashboard shows, how admissions are routed, which documents matter most, and what compliance packets need to look like.

  • Document-first foundations already in place
  • Admissions intake patterns shaped by related work
  • Public school visibility delivered through Howard Academy
  • Cloud-backed deployment ready for early schools
  • Compliance-aware design — not yet a compliance product
05Technical approach

Cloud-backed, role-aware, AI-ready.

Same operational foundation as our healthcare work, tuned for the documents and roles schools actually run on.

Document-first data model

Records, families, and applications are first-class entities tied to the documents that prove them.

Role-based access

Admins, registrars, teachers, and families see views appropriate to their role — not shared logins or shared inboxes.

AI-ready, not AI-led

Document tagging and structured intake make later AI summaries and routing practical, with human review as the default.

Running a school that needs to escape paper folders and shared drives? We are taking pilot conversations now — early schools shape the product.
